Introduction

St Paul’s Church needs to collect some information when seat bookings are made, so that appropriate seating is reserved, and wants to collect information for the NHS “Test and Trace”.

You agree to bear the full, complete, and sole responsibility for using the SERVICE for any purpose. You also agree to indemnify and hold St Paul’s Church harmless from any claims, proceedings, damages, costs, and expenses resulting from your use of the SERVICE for any illegal purpose.

Information collected

This summarises the current guidance from the relevant organisations below.

The UK Government requires St Paul’s Church to collect the following information, where possible:

Staff and volunteers

  • the names of staff and volunteers involved
  • a contact phone number for each member of staff or volunteer
  • the dates and times that staff are at work

Congregation

  • the name of the person. If there is more than one person, then you can record the name of the ‘lead member’ of the group and the number of people in the group
  • a contact phone number for each person, or for the lead member of a group of people
    date of visit, arrival time and, where possible, departure time

No additional data should be collected for this purpose.

Our booking systems will collect the information that we need. Although providing correct personal information is voluntary, we do encourage our parishioners and visitors to share their details in order to support NHS Test and Trace. This information will only be used where necessary to help stop the spread of COVID-19. If you do not want your details shared for the purposes of NHS Test and Trace, you can opt out by contacting the parish office at stpaulspoynton@gmail.com, and the parish will not share the personal information provided or booking purposes with NHS Test and Trace.

How you personal information will be retained and maintained: To support NHS Test and Trace, the parish must hold records for 21 days. This reflects the incubation period for COVID-19 (which can be up to 14 days) and an additional 7 days to allow time for testing and tracing. After 21 days, this information will be securely disposed of or deleted.

All collected data, will omply with the General Data Protection Regulation and will not be kept for longer than is necessary.

Consent

To make use of the parish booking service, you will be asked for your consent for the parish to keep the information, due to the sensitivity relating to religious relation personal information.
